Hall/Room Transfer Process and Schedule
The Hall/Room Transfer process will be begin each semester when all of the following conditions exist:
- The first two weeks of classes in a semester are complete.
- All residents assigned to temporary living spaces have been relocated to permanent assignments.
- Vacant spaces are available.
The Hall/Room Transfer process will end after the week prior to Thanksgiving in the fall and one week prior to the beginning of Spring Break in the spring.
Once the Hall/Room Transfer process begins in a semester, transfers will occur each week based on the following schedule:
- MONDAYS – Available spaces are identified for the week’s transfers.
- TUESDAYS – Those residents from the transfer lists for whom we have space that week will receive an email offer for a space. If you receive an offer, you will be removed from all other transfer lists.
- WEDNESDAYS – When/if you receive such a hall/room transfer offer email, you will have until 5:00 p.m. on Wednesday to respond and either accept or decline the offer. If you decline or fail to respond to the offer, you will be removed from this remaining transfer list.
- THURSDAYS – If you accepted your transfer offer, you will receive an email on Thursday approving that transfer with your hall and room assignment and move instructions.
- FRIDAYS though SUNDAYS – If you received a transfer approval on Thursday, you will be able to check into your new hall/room anytime after 12:00 noon on Friday. You will have until 9:00 p.m. on Sunday to move your belongings and properly check out of your current room/hall.
Important Notes About the Process
- When offering available spaces, we start with the halls which tend to have a higher demand among students and progress to halls with less demand. In this way, we are better able to offer someone on multiple lists a transfer to a hall they would most like.
- When/if you are offered a space on a Tuesday, you will be removed from all other transfer lists on which you may have put yourself. You will receive no other offers and you will not be able to decline the offer you receive in order to wait for a different offer. You can certainly add yourself back onto any transfer lists you wish, but you will then appear at the bottom of those lists. This policy allows us to more quickly accommodate more residents wishing transfers by minimizing the number of spaces that remain vacant from week to week.
- If you decline an offer, you will be removed from that hall’s transfer list as well. Again, you may always add yourself back onto transfer lists, but you will be at the bottom of the lists when doing so.
Living-Learning Communities
If space becomes available in one of our designated Living-Learning Communities, an attempt will be made to identify someone on that hall’s transfer list who expressed interest on their original application for housing in being a part of that community and in fully participating in that community’s activities. In these cases, transfers to a space in this community may not follow the hall’s transfer list priority and may require additional effort/application on the part of an individual interested in being a part of one of these communities. - Health Professions Community (wing in Graham-Greenlee Hall)
- Honors Residential Colleges (Posada San Pedro, Yavapai and Yuma Halls)
- MOSIAC Program (wing in Manzanita-Mohave Hall)
- Pre-Education (wing in La Paz)
- Psychology (wing in Apache-Santa Cruz)
- Women in Science, Engineering, Math or Technology (wing in Gila Hall)
